Managing travel for a major screen production is a logistical feat, and accommodation sits at the centre of it. For BCD Media & Entertainment, that often means coordinating anywhere from 5,000 to 10,000 room nights per project – balancing budget, comfort, and constant change without disrupting the production flow.

One recent production saw Melbourne and regional Victoria transform into a convincing stand-in for Chicago. The brief was complex: long-term stays, repeat bookings, VIP and executive travel, and large crew movements, all requiring a flexible yet tightly managed accommodation strategy. By tailoring recommendations across hotels, serviced apartments, and premium properties, BCD streamlined the options into a select group of trusted partners, ensuring smooth booking processes and reducing pressure on the production’s travel coordinator.

Cost control remained critical at this scale. BCD secured project rates at a property within walking distance of Docklands Studios Melbourne, locking in consistent pricing for the duration of the shoot. Flexible terms – including waived cancellation fees, complimentary parking, and upgrade options – added further value. When major events impacted availability, pre-negotiated secondary properties allowed the team to pivot instantly, maintaining continuity without compromising on quality or proximity.

The production’s move to Red Hill introduced a different challenge. With a wide range of accommodation types spread across the region and peak periods driven by school holidays, public holidays, and weddings, availability was tight. BCD responded by securing more than 1,000 room nights across an eclectic mix of properties, from luxury resorts and boutique hotels to motels and even rooms above a local pub. Each option was carefully matched to budget, location, and crew needs, ensuring no gaps despite the seasonal pressure.

Behind the scenes, the real complexity came from constant change. Rooming lists shifted daily, sometimes multiple times, with up to five major revisions in a single day. With accommodation blocks under strain, the team effectively “played Tetris”, reworking allocations, splitting stays across properties, and coordinating closely with hotels to ensure rooms were ready, turned over efficiently, and aligned with individual requirements ahead of key collection. It was a continuous exercise in precision, communication, and adaptability.

Later, in Sydney, BCD supported pre-production for another major project, working alongside producers to build the right accommodation mix from the outset. Within just days, the team conducted 25 site inspections across hotels, serviced apartments, and long-stay options, curating a shortlist that balanced cost, convenience, and the varied expectations of cast, crew, and executives. This groundwork not only streamlined decision-making but also delivered significant savings against initial market rates, setting the production up with both strong options and a solid financial footing.

Across each location and phase, the approach remained consistent: anticipate challenges, build flexibility into every layer, and deliver solutions that keep productions moving. By combining industry expertise with strong supplier relationships and strategic negotiation, BCD Media & Entertainment continues to remove the complexity from large-scale travel, ensuring that, no matter how demanding the brief, every crew member has exactly what they need, exactly when they need it.
